Privacy Collection Statement – Judo Recruitment

This collection statement (Statement) should be read in conjunction with the Judo Bank Privacy Policy (Privacy Policy). This Statement applies to anyone who makes an enquiry or application to become an employee of Judo Bank Pty Ltd or any of its related bodies corporate (Judo, weus or our), or who is, or was, employed by Judo.

This Statement sets out how Judo collects, uses, discloses and manages your personal information, including any ‘sensitive information’ as defined in the Privacy Act 1988 (Cth) (Privacy Act), you provide to us (together, Personal Information) in the context of our recruitment process.

You or your refers to the person(s) giving consent to the collection, use, disclosure and management of your Personal Information as described in this Statement.

 

What will your Personal Information be used for?

The Personal Information you provide to Judo on this website, or by whatever online or offline means (including by mail, email or telephone, or in person), is collected by us for the purpose of considering you for, or giving you, employment, or to update you on employment opportunities.

If your application is successful, we will retain your Personal Information as part of your employee record in accordance with applicable laws, which will contain all other Personal Information collected about you throughout your employment. If your application is unsuccessful, we may retain your Personal Information on file and may contact you if a suitable employment opportunity arises, or if there are other positions available with us that may be of interest to you. You can notify us at any time on 13 58 36 if you no longer wish to be contacted in this way.

If you choose not to provide some or all of the information requested, we may not be able to send you information, fully process your application and/or properly consider you for employment with Judo.

All information submitted to us must be true and correct. You must not post, upload or provide to us inaccurate, incomplete, false or misleading information.

 

What Personal Information will we collect from you?

To be updated on employment opportunities with us, considered for employment or to be employed at Judo, you may be asked to provide us with Personal Information that includes, but is not limited to:

  • Your name (including any aliases)
  • ​Address
  • Contact details (including email addresses and telephone numbers)
  • Resume/curriculum vitae
  • Educational background
  • Employment history
  • References
  • Results of police and/or other probity checks
  • Bank account details
  • Tax file number, Australian Business Number or exemption
  • Tax or other residency status
  • Superannuation fund information
  • Identity verification details (including driver’s licence, passport or other details)
  • Personal and emergency contact details
  • Information about terms and conditions of employment
  • Wage or salary details
  • Leave balances
  • Records of work hours
  • Records of engagement, resignation or termination of employment
  • Information about training, performance and conduct
  • Union, professional or trade association membership information
  • Location and log information
  • Information obtained from interviews or assessments

Other types of Personal Information we may collect from you are referred to in our Privacy Policy.  Please note that not all of the above types of Personal Information are requested from every applicant, as some types relate to particular stages of the recruitment process.

During the application process or any employment relationship with us, you may provide us with the personal information of third parties (for example, the name and contact details of your referees or emergency contacts). By providing us with their personal information, you confirm that you have their consent to share that personal information with us for the purposes set out in this Statement. You should let them know you have provided us with their information and provide them with a copy of our Privacy Policy, which contains details on how they can access their personal information retained by us by contacting our Privacy Officer.

 

How your Personal Information will be collected

Where possible, your Personal Information will be collected directly from you, for example, by you completing the employment application and/or providing us with any further information in connection with the application, and any other information that you may authorise us to collect from a nominated referee or third party or government agency. Judo may take copies of such material for our own records if we reasonably believe that it relates to the purpose of collection described in this Statement.  We may also collect Personal Information about you that is publicly available.

Other ways in which we may collect your Personal Information are referred to in our Privacy Policy.

 

Purpose of collecting your Personal Information

In addition to the purposes described in our Privacy Policy, your Personal Information may also be collected, used, disclosed or managed by Judo for the following purposes:

  1. to identify you or verify your identity or details;
  2. to record and assess your application and eligibility for employment;
  3. to communicate with you as part of the application process and throughout the recruitment process;
  4. to confirm your credentials and background with third parties or government agencies and conduct reference or other probity checks;
  5. to engage third party service providers to perform candidate testing (if required by your role) including reporting the results to us;
  6. to manage our recruitment or human resources functions, including to operate governance, disciplinary and grievance processes;
  7. if you are successful, to use your Personal Information to create and maintain your employee records and manage your employment with us, including determining and processing your pay and other entitlements and supporting you in your work with us;
  8. if unsuccessful, with your consent, to hold your Personal Information in order to consider you for future roles with us;
  9. for a secondary purpose for which you would reasonably expect us to use or disclose your Personal Information; and
  10. for purposes to which you consent, or as otherwise permitted or required by law, a court or tribunal, or a regulatory, government or law enforcement agency.

 

Disclosing your Personal Information

We may disclose your Personal Information for any of the purposes outlined above.

As part of the application process, or as part of your ongoing employment or management of your employee record, your Personal Information may be disclosed in connection with the above purposes to third parties including:

  1. former employers;
  2. nominated referees;
  3. your nominated financial institution, superannuation scheme and organisations that provide salary packaging or employee benefits;
  4. government agencies such as the Australian Taxation Office (ATO) or the Department of Immigration and Border Protection (DIBP) or their international equivalents and other law enforcement or regulatory bodies;
  5. third party agencies (for example, candidate testing, recruitment or probity reference providers);
  6. in the event of an emergency, emergency services personnel, your legal representative(s) or nominated emergency contact person(s), or other persons assessed as necessary to contact in relation to the emergency; and
  7. service providers who provide services to us related to our recruitment process and employee administration (including recruitment agencies, IT service, payroll and background check providers).

Other types of persons or organisations to which we disclose your Personal Information could include those referred to in our Privacy Policy.

 

Disclosure of your Personal Information overseas

Judo generally avoids offshore hosting and servicing of personal information and does not generally disclose your Personal Information to overseas recipients.

However, we may do so if you have consented to it (for example, in relation us contacting an international equivalent to the ATO or the DIBP) or we have taken reasonable steps to ensure the overseas recipient does not breach the Australian Privacy Principles (APPs) under the Privacy Act in relation to that information, or otherwise complies with the APPs in respect of the disclosure. However, if your Personal Information is disclosed to an overseas recipient and it handles your Personal Information in a way that breaches the APPs, Judo will not be responsible, and you will not be able to seek redress against us under the Privacy Act.

 

Storage of your Personal Information

We store your personal information in different ways. While some personal information we hold is paper-based, we store the majority of personal information in electronic formats. We may choose to digitise your personal information, such as tax file numbers and bank account and superannuation details, for efficiency. We may use cloud computer storage facilities to store the personal information we hold about you.

We take reasonable precautions to protect the personal information we hold from:

  • misuse, interference and loss; and
  • unauthorised access, modification or disclosure.

These include reasonable electronic and physical security measures as well as providing training to staff in relation to the security and confidentiality of our customers’ information.

If we no longer need your personal information and we are not required by law to keep it, we will take reasonable steps to delete, destroy or de-identify it.

 

Accessing or correcting your Personal Information that we hold

To the extent that your Personal Information does not form an employee record held by Judo directly related to your current or former employment relationship with us, the Judo Privacy Policy contains information about:

  1.  how an individual may access the Personal Information about them that is held by Judo and seek the correction of such information; and
  2. how an individual may complain about a breach of the APPs and how Judo will deal with such a complaint.  

If you are an employee or former employee of Judo, you can request access to your employee record in accordance with applicable workplace laws.
