Job Description

Now, about this role…

Judo is on the lookout for an Office Manager / Executive Assistant for a 12-month parental leave cover - someone who excels in organisation and managing multiple priorities at one time.

  • Planning and coordinating Judo events

  • Managing communal spaces, particularly the 3 kitchens and bar area
  • Assisting in organising both internal and external events and team get-togethers
  • Setting up meeting rooms for internal and external meetings
  • Ordering and organising office stationery
  • Greeting external visitors and catering for their needs while in the Judo office
  • Helping to monitor and ensure Occupational Health and Safety standards are maintained in the office, identifying any issues and collaborating with the facilities manager to resolve them promptly
  • Overseeing vendor relationships, including managing services such as office cleaning, coffee machines, and fruit deliveries
  • Handling credit card reconciliations, processing invoices, and ensuring timely approvals and payments
  • Coordinating courier services, handling mail distribution, and managing both incoming and outgoing post

In addition, as an Executive Assistant, you would be responsible for:

  • Supporting four executives with calendar management, scheduling meetings, and coordinating appointments to optimise their time
  • Handling confidential information with discretion, always maintaining professionalism
  • Managing and coordinating executive travel arrangements, including flights, accommodation, and itineraries
  • Liaising with internal and external stakeholders on behalf of executives, ensuring communication is clear and professional
  • Managing calls and requests on behalf of executives while ensuring important tasks are prioritised
  • Assisting in project coordination for various office and executive initiatives

Your life pre-Judo:

  • Minimum of 5 years’ experience in a similar EA or office management role
  • Proven ability to think independently about the needs of the office and structure them in a common-sense way and within budget
  • Proven ability to build strong relationships with team members, third parties, and vendors
  • You have contributed to shaping a positive office culture by organising team get-togethers and activities
